ZoliBot Privacy Policy

This Privacy Policy explains how ZoliBot collects, uses, stores, and protects information when sellers use the platform to manage products, connect social messaging channels, process subscription payments, connect payment gateways, and use AI assisted customer replies. ZoliBot is built for businesses that sell through WhatsApp, Instagram, Facebook, and Telegram, so the platform may process business data, product data, customer messages, order records, and integration settings needed to provide those services.

Information We Collect

We may collect account information such as name, email address, password credentials, phone number, business name, business address, business logo, business website URL, and account preferences. We may also collect product information added by sellers, including product names, descriptions, prices, stock status, product images, food item details, delivery notes, and AI notes used to answer customer questions more accurately.

When a seller connects a supported social channel, ZoliBot may receive and store message content, sender identifiers, timestamps, conversation status, bot pause status, and reply history so the seller can review and respond to customers from the dashboard. When payment features are enabled, ZoliBot may process transaction references, payment status, customer payment context, order status, and delivery details requested after a verified payment.

How We Use Information

We use information to create and secure user accounts, provide the seller dashboard, display and manage products, connect supported social channels, send and receive customer messages, support AI assisted replies, manage orders, confirm eligible payments, request delivery details, deliver notifications, provide customer support, prevent fraud, enforce service limits, and improve platform reliability.

AI replies are designed to use the seller business profile, product catalog, connected channel context, order status, payment settings, and saved instructions. ZoliBot should not intentionally expose internal account issues such as plan expiry or exhausted credits to customers. If AI access is unavailable, customer messages may still arrive for manual seller response.

API Keys, Payment Keys, and Connected Accounts

Users may add credentials for supported services such as social platforms, payment gateways, and messaging providers. These credentials are used only to operate the connected feature selected by the seller. Sellers should only add credentials that belong to their own business and should remove or rotate keys immediately if they believe access has been exposed.

Payment gateway information is used to create payment flows, verify payment events, and update order status where supported. ZoliBot does not use seller payment keys for unrelated services and does not intentionally display full secret keys back to users after they are saved.

Subscriptions and Billing

ZoliBot may process billing information through enabled payment providers for subscriptions and related account payments. The payment provider may process card, bank, wallet, or transfer details according to its own privacy and security rules. ZoliBot stores only the payment records and references needed to confirm plan access, manage invoices, provide support, and maintain account history.

Data Sharing

We may share limited information with service providers that help operate ZoliBot, including hosting providers, AI providers enabled by the administrator, payment gateways, messaging platforms, analytics tools, email providers, notification providers, and support systems. We do not sell seller product data or customer messages. Data is shared only as needed to provide the service, comply with law, protect the platform, or complete a requested integration.

Customer Messages and AI Processing

When AI features are enabled, customer messages may be sent to the configured AI provider so ZoliBot can generate a useful response. The response should be grounded in the seller business information and product catalog. Sellers remain responsible for reviewing their setup, keeping product data accurate, and taking over conversations that require human judgment.

Security

We use reasonable administrative, technical, and organizational safeguards to protect account information, API keys, payment settings, customer conversations, and order data. Security controls may include authentication, authorization checks, request throttling, webhook validation, encrypted transport, sensitive key handling, access restrictions, and audit friendly logging. No internet connected service can guarantee absolute security, so users should protect their passwords, enable available account security features, and keep connected platform credentials safe.

Data Retention

We keep information for as long as needed to provide the service, maintain records, comply with legal obligations, prevent abuse, resolve disputes, and support account recovery. Sellers may update business details, product records, and connected account settings from the dashboard. Some records may remain in backups, logs, payment records, or legal archives for a limited period.

User Choices

Users may update profile information, business information, products, social channel connections, and payment settings from the dashboard where available. Users may pause AI replies, disconnect supported channels, change product visibility, or contact support for account related requests. If a seller deletes information, the change may affect AI reply accuracy and connected workflows.

International Use

ZoliBot may be used by sellers in different countries where the connected services, payment providers, and local laws allow such use. By using the platform, users understand that information may be processed in locations where our service providers operate.

Children

ZoliBot is intended for business users and is not directed to children. Users should not create accounts or upload customer information if they are not legally allowed to operate a business account in their location.

Changes to This Policy

We may update this Privacy Policy as ZoliBot features, integrations, laws, or security practices change. Updated content may be posted on this page or made available through the dashboard. Continued use of the service after changes means the user accepts the updated policy.
